Job Description

The Power Systems Engineering Research Center (PSERC), within the School of Electrical, Computer, and Energy Engineering, invites applications for a full-time Administrative Associate. This position reports to the Director of PSERC. The successful candidate will perform complex administrative functions that include event planning and organizing, such as meetings and webinars, document preparation, use software applications as it applies to position for webpage maintenance, front desk support, and various administrative services that require initiative, judgment, and the ability to work independently under general direction while maintaining effective working relationships with faculty, staff, students, and vendors.

Salary Range

$44,117 - $53,000 per year; DOE

Essential Duties

·       Assists in coordinating events, including arranging venues, IT set-ups, catering, sending invitations, and managing RSVPs. Attend meetings when necessary (may require travel).

·       Works closely with PSERC researchers to review and prepare research reports for publication.

·       Assists PSERC staff with executing webinars, tutorials, online job fairs, and other online events.

·       Assists PSERC staff with member outreach activities.

·       Participates in special projects as directed.

·       Answers phones and PSERC email, greets visitors, and directs questions to the appropriate offices for resolution.

·       Maintains PSERC’s documents, websites, list serves, and event registration pages (Aventri).

·       Prepares and distributes documents such as reports, certificates, meeting materials, and announcements.

·       Prepares documents for events, name tags, and agendas.

·       Responds to matters requiring comprehensive knowledge of PSERC’s procedures.

·       Provides back-up and support to other PSERC staff.

·       Complies with all ASU policies and procedures.

 

Minimum Qualifications

Bachelor’s degree in Business or in a field pertinent to work unit and one (1) year of directly related administrative experience; OR, any equivalent combination of experience and/or education from which comparable knowledge, skills, and abilities have been achieved. 

 

Desired Qualifications

·       Administrative coordination experience in higher education.

·       Experience with the planning and execution of professional meetings.

·       Experience preparing correspondence and reports.

·       Experience establishing and maintaining effective working relationships with faculty, staff, student, community partners, and other stakeholders.

·       Experience maintaining web pages, distribution lists, and using web forms.

·       Experience with Word, Excel, PowerPoint, and Adobe Acrobat.

·       Experience with LaTex.

·       Experience with meeting planning tools (e.g., online registration).

·       Experience with hosting and moderating virtual meetings

 

Working Environment

Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work.

Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds.

Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts.

Ability to clearly communicate to perform essential functions.
